We take ownership of the entire process, from initial planning and platform configuration through to migrating your existing SDS library and risk assessments into the live system.

  • Planning and scoping: We assess your current data landscape, team structure, and compliance requirements before any work begins. Every migration is different, and the plan reflects your specific situation.
  • Platform configuration: We set up your Safety365 account with the correct location hierarchy, user roles (Viewer, Administrator, Risk Assessor, Manager), permissions, and compliance dashboard widgets to match how your organisation actually operates.
  • SDS library migration: Your existing safety data sheets are matched against our database of 1.1 million+ live SDSs from over 47,000 manufacturers. Where matches exist, they link automatically. Where they do not, we import your documents and flag them for review.
  • Risk assessment transfer: We migrate your COSHH and task risk assessments with their full detail, including hazards, controls, risk ratings, review dates, people affected, and linked documents. Over 50,000 published COSHH assessments already sit on the platform, and yours join them with all their history intact.

What Does Sevron's Implementation & Rapid Transfer Include?

We designed this as an all-inclusive service. Every step from initial conversation to post-launch support is managed by our team, with your involvement limited to decisions that only you can make.

  • Planning: We start with a discovery session to understand your business, your team structure, your existing data, and your compliance goals. This produces a scoped plan with a realistic timeline.
  • Configuration: We build your Safety365 environment to your specifications. Location hierarchies, user accounts, role assignments, notification rules, and 14 customisable compliance dashboard widgets are all configured before any data enters the system.
  • Data collection: We gather your existing records, whether they live in spreadsheets, PDFs, Word documents, paper binders, or exports from legacy software. We catalogue everything and assess data quality before migration begins.
  • Done-for-you migration: Our specialists extract, cleanse, validate, and import your data. This covers substances, COSHH and task assessments, usage details (application method, area, frequency, quantity, duration), process titles, location placement, review dates, people affected, task details, spillage and storage and waste information, WELs, hazards and controls, risk ratings, general controls, emergency controls, health surveillance content, linked documents, publishing reasons, comments, sign-off sheets, and assessment owners. All assessments are published to the correct person and location.
  • Validation: Before handover, we verify every imported record. We check that assessments link correctly, that SDS matches are accurate (drawing from over 745,000 substance-assessment links already on the platform), and that your six compliance scoring metrics are reporting correctly.
  • Training and go-live: Your team receives a structured walkthrough covering system overview, COSHH assessment creation, and role-specific operations. After training, we provide the trainer's email and contact details for follow-up. Overview videos and virtual sessions supplement the hands-on walkthrough.
  • Ongoing support: After go-live, we remain available. If something needs adjusting, whether it is a permission change, a dashboard tweak, or a question about how to use a feature, our team is a call or email away.

Our rapid transfer service handles the full scope of data migration. We take your existing safety records, in whatever format they currently live, and bring them into Safety365 with all their detail preserved. You do not need to re-key a single assessment.

  • Capture your data: We extract records from spreadsheets, legacy compliance software, PDFs, and paper-based systems. If you have been managing SDS binders by hand or maintaining risk assessments in Word documents, we take that raw material and prepare it for import.
  • Import your SDS library: Your safety data sheets are matched against our database of 1.1 million+ live SDSs. Products are linked to their correct manufacturer records, hazard data is populated, and your chemical inventory is ready for COSHH assessment creation from the moment the system goes live.
  • Validate and maintain accuracy: Every imported record is checked. We verify that assessment fields are complete, that controls map correctly to hazards, and that review dates carry over. Once migration is complete, you receive a one-to-one walkthrough of your imported data to confirm everything is where it should be.

  2. 2Phase 2: Planning: Based on what we learn in initiation, we produce a detailed project plan. This covers data extraction approach, configuration design, user setup, training schedule, and go-live date. You review and approve before we proceed.
  3. 3Phase 3: Design and configuration: We build your Safety365 environment. User accounts, role assignments, location hierarchies, permission structures, dashboard configurations, notification rules, and assessment templates are all set up according to the agreed design. Export formats (PDF, Excel, CSV) are configured, and RIDDOR reporting functionality is activated where required.
  4. 4Phase 4: Testing and validation: Before any data goes live, we test every element of the configuration. Permissions work as intended. Workflows fire correctly. Compliance scoring metrics report accurately across all six measures. Assessment templates generate proper outputs through automatic PDF generation.

How long does implementation & data migration take?

Most implementations complete within two to four weeks, depending on data volume and organisational complexity. A single-site business with a few hundred assessments can be faster. A multi-site organisation with thousands of records and a complex location hierarchy may take longer. We provide a realistic timeline during the planning phase.

What resources are required from our team?

Minimal. We need access to a decision-maker for the discovery and design approval stages, and we need your team to attend training sessions. Beyond that, we handle the work. Your team provides location structure and user account details via Excel, and we take it from there.

Do you provide training during implementation?

Yes. Training covers all user levels, from system overview to COSHH assessment creation using the SPOT AI wizard. Your Implementation Manager stays as your point of contact through the post-launch period, and we provide follow-up virtual sessions as needed.

Is data migration secure and compliant?
